How to calculate productivity (the formula)
If you've ever wondered how to calculate productivity, the underlying math is simple once you separate two things: the work you actually bill for, and the total time you spend at work.
Flip that around, and you get the formula this calculator actually uses to solve for your finish time:
Total time worked = Billable minutes ÷ (Productivity % ÷ 100)
Finish time = Start time + Total time worked
Finish time with lunch = Finish time + Lunch minutes
Worked example
- Start time: 8:00 AM
- Billable minutes: 306
- Productivity target: 85%
- Total time worked: 306 ÷ 0.85 = 360 minutes (6 hours)
- Finish time: 2:00 PM
- Finish time with a 30-minute lunch: 2:30 PM

Productivity minutes and unpaid lunch breaks
Productivity minutes — the billable time you log — are separate from unpaid lunch or break time. This distinction matters because unpaid breaks don't count toward "total time worked" in the productivity formula, but they do extend your actual day.
- If lunch is unpaid, enter it in the lunch field — it gets added after your calculated finish time.
- If lunch is paid, leave the lunch field at 0 — it already counts as worked time.
