How to Use it?
- Pick the tab that fits what you’re measuring: Standard Hours, Shift / Billable, or Team / Group.
- In Standard Hours, type in the hours you expected the task to take and the hours it actually took.
- In Shift mode, add your start and end time, how many minutes were break time, and how many minutes were spent on actual output.
- Decide whether breaks should count against your available time or be left out of the total.

Formula Breakdown
Standard Hours method:
Time Efficiency (%) = (Standard Hours ÷ Actual Hours) × 100
A result over 100% is a good sign here. It means the task got done faster than planned.
Shift / Billable method:
Time Efficiency (%) = (Productive Minutes ÷ Available Minutes) × 100
Available minutes is your total shift length, or that length minus breaks if you’re deducting them.
This one always lands somewhere between 0% and 100%.
Team / Group method:
Time Efficiency (%) = (Total Productive Hours ÷ Total Available Hours) × 100
Divide either total by your headcount to get a per-person average.
Example
Say a project was budgeted for 40 hours but actually took 50. Plug that in: (40 ÷ 50) × 100 comes out to 80%, so the work ran about a quarter longer than planned.
Now picture an 8-hour shift, 480 minutes total, with a 30-minute lunch break and 300 minutes spent on actual patient care or output. Subtract the break and you’ve got 450 available minutes. (300 ÷ 450) × 100 gives you 66.7%.
Or scale it up to a team: six people logging 225 combined available hours and 148 combined productive hours in a week. That’s (148 ÷ 225) × 100, or roughly 65.8% team-wide, which works out to about 24.7 productive hours per person out of 37.5 available.
Conclusion
This number won’t tell you exactly why productivity changed, but it gives you a reliable starting point. It can reveal whether tasks are taking longer than expected, shifts include more downtime than planned, or work hours aren’t translating into meaningful output.
